Whiteboards are collaborative work areas you can add at the Everything, Space, Folder, or List level as views.

You can add internal and external content, including tasks.

What you'll need

  • Whiteboards are available on every ClickUp Plan.

  • The number of Whiteboards that can be created depends on your Plan:

    • Free Forever: 3 Whiteboards

    • Unlimited: 10 Whiteboards

    • Business, Business Plus, and Enterprise: no limit

    • Guests can use Whiteboards.

  • If using Google Chrome, we recommend enabling hardware acceleration.

Create a Whiteboard

From the Sidebar

The easiest way to create a Whiteboard is in the Sidebar! This will create a new List called Whiteboard and set the Whiteboard as the default view.

  1. From the Space, Folder, or List you want to add a Whiteboard to, click the Ellipsis ... menu.

  2. Select Create new, then Whiteboard.

  3. Your new Whiteboard opens.

  4. The Whiteboard is added as a List view, a List in the Sidebar, and also a Whiteboard view, as usual.

    • If you change the name of the List view, the name is also saved to the Sidebar List.

From + View

  1. From the location you want to add the view, click + View.

  2. Select Whiteboard.

    • Choose Personal view to keep your Whiteboard for your own use.

    • Choose Pin view to pin your Whiteboard to the top of the location you're adding it to. This works just like pinning any other view.

  3. Click Add View.

Access your Whiteboard

From Command Center

  1. Use the shortcut Cmd + K to open Command Center.

  2. Select Whiteboards from the top row of options.

  3. Start typing the name of the Whiteboard into the search bar.
    Tip: Don't remember the name of the Whiteboard? Type "Whiteboard" to list all of the Whiteboards in your Workspace!

  4. Navigate your search results using up and down arrow keys or scrolling with your mouse.

  5. Press Return or click with your mouse to open.

  6. All of the Whiteboards in your Workspace will display.

From the view Ellipsis ... menu

Hover over the name of a Whiteboard view and click the ellipsis ... Choose one of the following options for storing your Whiteboard to find it easily again in the future.

  • Pin it in the same place as its related tasks, like you would any other view.

  • Favorite it.

  • Move it to Everything or another Space, Folder, or List.

  • Set Sharing & Permissions.

  • Make it a Personal view.

  • Make it a Default view for everyone.

  • Use the link icon in the upper-right to copy and share it.

From Sidebar

If you created your Whiteboard from Sidebar, you can find it there as a List.

  1. From Sidebar, select the Space where you created the Whiteboard.

  2. To open, click the Whiteboard List.

Fit to Screen

To focus on all of your Whiteboard objects, click Fit To Screen in the upper-right next to your avatar.

Sharing and permissions

You can share a Whiteboard that was created in Sidebar or as a Whiteboard view.

Sharing a Whiteboard that was created in Sidebar gives you the full options available for all List views.

We're working on the full functionality of sharing as a Whiteboard view. Currently, you can do everything but generate a public link, protect your view, and give comment permissions.

You can also share a Whiteboard view from Command Center.

  1. From a Whiteboard, use the shortcut Cmd + K to open Command Center.

  2. Type "share" to quickly access the Sharing section. You can also select All from the top row of options.

  3. Either way, scroll down to the Sharing section.

  4. Select Share Whiteboard.

  5. The Share modal will open.
