Creating a recurring task with specific settings

In this section we'll cover:

  1. Creating a Recurring Task Schedule

  2. Choosing when the task should recur

  3. Choosing to create a new task or not

  4. Selecting a Recurrence Length

Step 1: Creating a Recurring Task Schedule

Set up the schedule for your recurring task.

  1. Choose your preferred schedule

  2. Preview the recurring task schedule on the calendar

  3. Continue to set your preferences or click Save to set the recurrence in motion

Note: When setting the time span for your recurring tasks, the recurrence period will apply to the due date, and the start date will be calculated from the due date.

Scheduling options include:

  • Daily: The task will recur every day with the option to skip weekends

  • Weekly: Recurs once a week on the day you choose

  • Monthly: Option to recur on the same day each month that you've chosen, a select weekday of the month (such as the first Friday), the 1st of the month, or the last calendar date in the month (such as September 30th, followed by October 31st).

  • Yearly: Recurs once a year on the day you choose

  • Days after: Recurs a certain number of days after the task has been marked complete

  • Custom: Indicate if the task should repeat every few days, on select days in the week, select weeks in the month, or select days of the year

Step 2: Choosing when the task should recur

Create the next task when the current task is either closed, done, or on schedule.

Recur when Closed: The task will recur when it moves to a closed status

Recur when Done: The task will recur when it moves to a done status

Recur on Schedule:

If you need the task to recur regardless of whether the task is set to a Done or Closed status, make sure On schedule is selected.

Once selected, the Update status to option will appear. This option allows you to choose what the status changes to once the task has recurred.

Note: Tasks set to recur On schedule that are marked as Done or Closed before their due date will create the next occurrence right away!

Step 3: Choosing to create a new task or not

Select your preference to create a new task or not by checking the Create new task option.

Create new task (checked): Duplicates the recurring task as a brand new task in your Workspace.

Customize what you would like to bring over to the next instance of the recurring task.

Options include:

  • Everything

  • Description

  • Attachments

  • Comment Attachments

  • Subtasks

  • Remap Subtask Dates

  • Assignees

  • Subtasks Assignees

  • Watchers

  • Tags

  • Checklists

  • Custom Fields

  • Comments

  • Activity

  • Only Assigned Comments

Do not create a new task (unchecked): The start and due dates of the task will be updated to reflect the next recurrence according to the schedule. All the current and completed activity, subtasks, checklists, assigned comments, will be kept on the task.

Step 4: Selecting a Recurrence Length

Set how long you want the task to recur.

  • Recur Forever - The recurrence will continue indefinitely

  • Repeat - Set how many times this task will recur

  • End on - Set a final date for the recurrences to happen

Step 5: Preview your recurring task schedule

Preview the schedule one last time on the calendar, and click save to set your recurring task in motion!

Pro tip: Type your recurring settings quickly, like 'every day'

You can set up recurring tasks even faster with natural language. Just type in your desired repeat schedule in the due date section of your recurrence menu:

Examples:

  • Every Monday at 9 am

  • On Thursdays

  • Until September 23rd

  • For 3 weeks

Pro tip: On the Unlimited Plan and above, you can see recurring tasks in your Calendar view!

Using Start Dates on Recurring Tasks

If you have Start Dates set with recurring tasks, your Start Dates will be automatically moved to ensure they are the same length from the Due Dates.

For example:

  • Your task starts on Monday and is due on Wednesday (2 days in between)

  • Recurrence is set to every day

  • On the next recurrence, your due date is moved up one day, to Thursday.

  • Your start date would also be moved up one day, to ensure it's still 2 days before your Due Date, so the Start Date would be Tuesday now.

Using Legacy Recurring (Advanced Options)

If you need to set up a more customized recurrence schedule, our legacy recurring options are available.

  1. Click on the Recurring settings ellipsis

  2. Select Use legacy recurring

  3. Set your recurring task up using the options available

  4. Click Save
