Why use Statuses?
- Transparency! Your entire team knows what everyone is working on at any given moment.
- Productivity! When you use a status such as In progress as soon as you start a task, you can stay focused on the exact task at hand, thereby increasing efficiency and productivity.
- Stay Organized! With statuses, you'll know exactly where tasks stand, which tasks need attention, and what's next in the pipeline.
- Create a Process! Force your tasks (and team) through a process. Avoid things slipping through the cracks.
ClickUp is designed around using a Custom Status workflow, and really works best when you have at least one Custom Status.
Alright, but when should I use Simple Statuses?
If you're using ClickUp by yourself for a simple to-do list, then Simple Statuses are probably best for you.
Then again, you could just use checklists in a regular task for that!
What about Custom Statuses?
Unless you're using ClickUp by yourself for a really simple checklist, in general, we highly recommend using Custom Statuses instead.
The reality is almost every task can and should have at least three stages:
- Open (not started)
- In progress
- Closed (done)
How do I change my Space(s) to use Custom Statuses?
Step 1: Go to
Settings and select
Step 2: Select a Space from the dropdown list
Step 2: Opt for Custom Statuses in the
Task Statuses section
Step 3: Add statuses of your choice
What Statuses should I use?
You're free to use whatever statuses you want! If you have a relatively simple workflow, try starting out with just an In Progress status so you can keep track of who's working on what.
If you're unsure, ClickUp has some templates for Custom Statuses to choose from when you're creating a Space:
Custom Statuses in Board View
Board view is the perfect place to visualize your Custom Status workflow.
Each column represents a veritable stage of your task's life cycle, and you can drag and drop tasks from status to status at any time.
It's important to note that tasks don't necessarily have to go through the workflow in the same order - they can jump around.
For example, if you have a Space based around content creation, you may have something that looks like this:
Do you have tasks in statuses that are pretty much done, but you don't want to close them? Make those statuses "Done" statuses in just a few steps!
